Understanding the Employees table
The Employees table displays all employees invited to or captured by Workforce, with the following information:
- Employee: Employee name and email address
- Version: Workforce extension version number installed on the employee's browser
- Last Ping: Most recent extension check-in time
- Last Capture: The last captured activity for this employee
- Status: Extension activation status. This column appears only for organizations using the email invitation deployment method. Use the Filter to narrow the table by status.
Viewing an Employee
Clicking an employee's name in the Employees table opens their detail page. This view shows identity information at the top, followed by a breakdown of application usage and activity for the selected time period.
The identity header displays the employee's name, email address, Last Ping, Last Capture, and Extension Version. Use the date range selector to scope the data below to a specific period, such as the current week.
Apps table
The Apps table lists each application the employee visited during the selected period. Each row includes:
- App: The application name
- Pages Viewed: The number of pages the employee visited in that application
- Active Time: The employee's active time in that application
- Focus Time: The employee's focus time in that application
- Visible Time: The employee's visible time in that application
Activity
The Activity section shows time-windowed rollups of the employee's engagement across all applications. For each period (such as a week), it displays totals for Pages Viewed, Active Time, Focus Time, and Visible Time.
Viewing pages for an app
Clicking an application row in the Apps table opens a page-level breakdown for that employee and application, scoped to the selected date range. Each row represents a single page visit and includes a Play button to launch session playback for that visit, the page's Duration, the Page Start time, and the Page URL or title.
Managing employees
Back on the Employees tab, the toolbar above the table provides tools for building and maintaining your employee roster. Once employees are added, you can deploy the Workforce extension to them using one of several deployment methods.
Deploying Workforce to employees: After adding employees to the table (via import, manual entry, or API), you'll need to deploy the Workforce extension to them. One of the methods is Email invitation, where you select employees and click Send Activation Emails to send personalized invitation links.
See the Workforce Setup and Deployment Guide for detailed instructions on all deployment methods, including email invitation, Google Workspace policy deployment, and Microsoft Intune deployment.
Import employees (bulk)
Add or update multiple employee records at once using a CSV or JSON file. This is the most efficient way to import data about employees on your team.
To import employees in bulk, click Import employees and follow the prompts.
See Workforce - Import employees for detailed instructions on CSV and JSON upload formats.
Add employee (individual)
To invite an individual employee to Workforce, click Add employee and enter their Email and Name.
Search and filter
Use the Search box to quickly find specific employees by name or email address.
For organizations using the email invitation deployment method, a Filter option also appears to narrow the table by activation status. The available status values are:
- Ready for Invite: The employee has been added to Workforce but has not yet been sent an invitation.
- Invited: An invitation has been sent and is awaiting acceptance.
- Activated: The employee has activated their extension via the User Activation flow.
- Invite Expired: The employee's invitation has expired and needs to be resent.
Download employee data
You can export the employee table for offline analysis or reporting:
