User Management

Who can use this feature?
- Available with all plans.
- Requires an Admin user role. 

Fullstory Admins are responsible for user management in Fullstory. Such as inviting new users, removing users, changing their roles, and more, all of which can be managed under Settings > Account Management > Users. 

This article reviews those actions, as well as additional user management capabilities you may consider for your organization.

Invite New Users

Visit Settings > Account Management > Users and select Invite Users

Simply enter the user's email address and assign their user role, or use the bulk-upload tool to invite up to 30 users simultaneously:

Resend or revoke an invitation email

You can resend or revoke an invitation email by going to Settings > Account Management > Users, finding the user in questions, and clicking the 3 dots (⋮) to the right of the page to select either Resend Invite or Revoke Invite.

Edit a User’s Role

Visit Settings > Account Management > Users. Here, Admins can change a teammates’ role by clicking on the Edit role icon or the vertical ellipsis to the right of the Last active column. For example, you may want to upgrade a user from Standard to Admin permissions, or downgrade a user’s permissions from Standard to Guest in order to free up a Fullstory seat for another teammate. You can also edit user roles in bulk. See below.

Remove a member of your account

If at some point you need to remove a team member from your account, for any reason, as an Admin follow the below steps:
 

  • Navigate to Settings > Account Management > Users
  • Check box next to the name of the team member you wish to remove and click the "Remove" button that appears

  • Alternatively, locate the user in the above mentioned view, click on the vertical ellipsis at the end of the row and select "Remove":

Note: After a team member is removed from your Fullstory account, all objects created by that individual (e.g. dashboards, segments, metrics) are still available to all users within the account. Only admins, architects and umbrella managers will be able to modify or delete these objects.

 

Disable a member of your account

In addition to the ability to remove members from your account, you also have the ability to disable a member's access to an account. Members whose access has been disabled will not be able to log in to your Fullstory account. If their access is again enabled, they'll be able to access the objects they had previously created.

Users that have been disabled do not factor into your account's user quota.

Download User List

All users can export the list of teammates with a Fullstory license by clicking the down arrow at the top right of your user list. Only the Account Admin will see information pertaining to their teammate’s last activity date in the data export.

 

Enable SSO and Just-In-Time Provisioning

With Enterprise or Anywhere plans, save time by automating user provisioning by setting up SSO with Just-in-Time Provisioning).

Allow seat requests from new users

Allow new users to request access to Fullstory from the Fullstory login page under Settings > Account Management > Users. Scroll down to “Seat Request Settings” and toggle on "Allow Seat Requests from new users." This enables a "Request to join my company" button on the Fullstory login page.

By default, admins will receive email notifications that require approval for all new requests. Approved users will receive a Standard seat by default, which admins can change after approval. To remove the approval process and customize seat request routing, follow the steps here.

Also by default, all domains can request a seat in your account. To limit these requests by domain, click Add Domain under Settings > Account Management > Users > Seat Request Settings to configure approved domains.

Configure inactivity timeout settings

To protect your company's Fullstory data, admins can use the Inactivity Timeout Setting to set a custom timeout window for users of the Fullstory application. For example, your company may have a policy that requires users of any software application that contains customer data to re-authenticate following 24 hours of inactivity. 

Admins can specify the period of inactivity before users must re-authenticate in Fullstory from Settings > Users > Inactivity Timeout Setting.  Using the previously cited example, to require your teammates using Fullstory to re-authenticate after 24 hours of inactivity, adjust the setting to 1,440 min (24 hours).
